Purpose
Maintenance and administration of commercial leases for existing and new tenants. Report to Manager, Commercial Property Administration and provide support to Commercial Property Administration and Commercial Leasing Coordinator teams through Lease Administration functions.
Tenant Lease Administration:
Read and identify relevant sections of commercial leases for Abstracts. Extract all relevant details, populate lease Abstract template, and upload tenant accounts details to Yardi.
Ensure compliance with Lease for new tenant for key turnover with Operations Team.
Create tenant accounts and set up Lease terms and rates in Yardi.
Work with Property Administrator for Yardi Lease activation and Abstract sign off.
Set up tenant expense pools for revenue in budgets tenant year end reconciliation to ensure alignment with Lease Agreements.
Obtain and verify Broker Commission statements for processing through Property Administrator
Update and maintain tenant insurance to ensure adequate coverage as per Lease.
Assist with Due Diligence requirements for property purchase/sale.
Follow up with tenants for execution of lease agreements.
Prepare Vacancy Possession notices for issuance to tenants on impending expiration.
Prepare Tenant Acknowledgement or Estoppel Certificates on request.
Prepare Leasing invoices for review and approval by the Leasing Coordinators.
Other duties on request
Lease Reporting:
Generate Lease expiry reports, reviewing and identifying all upcoming term expirations. Review and communicate with the Leasing coordinator for updates on approaching lease expirations.
Meet with Leasing Coordinators and V-P on a weekly basis for leasing updates
Work with Lease coordinators to update and generate Amendment Activity Report
Communicate lease activity with Property Administrator
Update Lease sections for monthly property Management Reports in close cooperation with Leasing Coordinators

Qualifications
Education
College Diploma/University Degree
Ability to read and write English fluently and be familiar with legal commercial leasing language
Experience
A minimum of three (3) years of experience in leasing administration or a related field.
